You can create a proper GST invoice for your shop using free tools, and it takes less than ten minutes to set up. The key is to pick a method that matches your daily sales volume and comfort with technology.

A valid GST invoice must show your GSTIN, the customer's details, a clear description of each item, the HSN or SAC code, the taxable amount, and the CGST, SGST or IGST split. If you miss any of these, the customer may not be able to claim input tax credit.

Free Ways to Generate a GST Bill

Google Business Profile Invoice

If your shop already has a Google Business Profile, you can enable the invoicing feature from the dashboard. It lets you send a simple bill to the customer's email or WhatsApp. The invoice carries your business name, address and phone number, which is enough for small daily sales under the composition scheme.

WhatsApp Business Invoice

WhatsApp Business has a built-in catalogue and quick invoice button. You can add your items with prices, send the bill to the customer in chat, and mark it paid. It works well for neighbourhood shops that already talk to customers on WhatsApp.

FRQ Starter Plan

FRQ offers a free Starter plan for local shop owners. You get up to 50 products, your own store address on frq.in, and a free counter billing system that prints GST-ready invoices. There is no commission on sales, so you keep every rupee. To open a store, use the Create a shop option on frq.in.

When to Upgrade

Move to a paid tool when you cross about 50 invoices a month, when you need inventory tracking, or when your customers start asking for e-way bills. Paid plans usually start around Rs 499 a year and include automatic tax filing reminders.

Some widely used paid tools among small shop owners include Vyapar, Zoho Inventory and TallyPrime. Compare at least two on price, number of users and whether they support barcode scanners before you buy.

Step-by-Step: Set Up Your First GST Bill

  • Open your chosen tool. If you picked FRQ Starter, sign in at frq.in and click Create a shop. For Google Business Profile, go to the dashboard and toggle invoicing.
  • Add your shop details: legal name, address, phone and your 15-digit GSTIN. Double-check the GSTIN because a typo can invalidate the invoice.
  • Create product entries. For each item, enter the name, selling price, HSN code and tax rate. If you sell mixed-rate goods, group them by tax slab so you do not mix 5% and 18% items on one bill.
  • Issue the first invoice. Select the customer, pick the products, preview the tax split and send or print. Keep a PDF copy in a folder named by the invoice number.
  • Reconcile at the end of the day. Match the total sales in the software with your cash drawer. If there is a gap, check for unpaid orders or duplicate entries.

GST Rules Every Shop Owner Must Know

Under GST, you must issue an invoice before or at the time of supply. For goods, that usually means at the time of removal from your shop. For services, it is at the time of delivery. Keep every invoice for at least six years from the end of the financial year.

If your annual turnover crosses the registration threshold, you must register on the official GST portal at gst.gov.in and start charging tax. Until then, the composition scheme lets you pay a flat percentage and issue a simplified bill to customers. Confirm your exact liability on the portal because thresholds change with budget announcements.

Common Mistakes to Avoid

The most frequent error is missing the HSN code. Every product must carry a code from the harmonised system; without it, the invoice is treated as defective. Another mistake is using the wrong tax rate, especially when items are sold in sets or with free gifts.

Do not forget to mention whether the supply is intra-state or inter-state. An intra-state sale attracts CGST and SGST, while an inter-state sale attracts IGST. Mixing them up leads to wrong tax collection and extra paperwork.

Frequently asked questions

Can I use a handwritten bill if I am under the composition scheme?▼

Yes, a handwritten bill is acceptable for small composition dealers as long as it shows your name, address, date, item description, quantity, rate and total amount. However, digital invoices are faster to send and easier to keep, so many shop owners switch to free tools within a few months.

What is the difference between a tax invoice and a bill of supply?▼

A tax invoice is issued when you charge GST and the customer can claim input tax credit. A bill of supply is issued when you are exempt from tax or under the composition scheme and the customer cannot claim credit. Use the correct document type to avoid rejection at the customer's end.

How many copies of an invoice should I keep?▼

Keep one original copy for your records and give one copy to the customer. If the customer is a business, they may ask for the original to file their GST return. Store digital copies in cloud storage so you can retrieve them quickly during audits.

Do I need a separate invoice for online and offline sales?▼

No, the invoice format is the same. The only difference is the delivery channel. An offline sale can be printed on paper, while an online sale can be emailed or sent via WhatsApp. Both must carry the same mandatory fields.
